As well as organising events, Fresh Tracks offer a venue research facility. We will research suitable venues for your event - whether you're arranging a conference for 1,000 delegates or require a meeting location for 10 attendees - in a location to suit you and within your budget.

What do we look for in a venue?
We will only ever recommend a venue that we know will provide an excellent service - we visit venues which we feel may suit our future requirements to check out their service, food, amenities, etc so that we know they will meet our expectations. If a venue doesn't meet our (somewhat high!) standards, then we will not recommend it to you. Similarly, if you have already booked a venue for your meeting/conference we will arrange a site visit with you to ensure the venue can cater for all your requirements.

Fresh Tracks recommend venues which are unique in some way and offer a high quality of service. It may be a stately home, a castle, a zoo, a sporting venue, a spa hotel, or a conference venue - or anything in between. Although most of our clients are UK-based we also arrange events and conferences worldwide - for example, Denmark, Dubai, France, Portugal.

What are the advantages of Fresh Tracks arranging the venue?
As well as being able to recommend venues that will meet your requirements in respect of budget and location we will then take care of negotiating costs, handling all the paperwork/invoicing, ensuring the venue has suitable space for your requirements, arranging accommodation for residential conferences, ensuring dietary requirements are catered for, liaising over menus and catering arrangements, arranging audio visual equipment, advising room layout, providing delegate lists to the venue, dressing the main conference room and/or any syndicate rooms if required, signage at the venue, transport to/from the venue, etc. We can arrange for a venue visit for you if required, accompanied by the Fresh Tracks member of staff who will be running your event for you if you wish. When the invoice arrives, we check this to ensure you're not overcharged.

Provisional/confirmed bookings
As we work with a wide range of venues throughout the UK, we can often negotiate preferential rates for you. We can make provisional bookings for you at venues without you incurring any charges. It's only once a booking is confirmed and a booking agreement signed that charges will be incurred. Even then, if you have to cancel or postpone your booking we will endeavour to negotiate the lowest possible cancellation charges.

Venue costs
Venues vary widely in the services they offer - some will include ground hire and private dining in their delegate rates, whilst other venues may make a separate charge for these facilities, ranging from £250+VAT - £1,000+VAT. Some venues offer unlimited teas/coffees throughout the day as standard, whereas others will offer two servings within their delegate rate. Typical venue costs are shown below - these costs are just to give you a ballpark figure as they will vary widely depending on the location, type of venue, dates required, etc.

- Day Delegate Rate: £60/head+VAT
Usually includes meeting room, at least two servings of tea/coffee and a restaurant or working lunch.
- 24 Hour Delegate Rate: £175/head+VAT
Usually includes meeting room, at least two servings of tea/coffee, restaurant or working lunch, restaurant dinner, bed & breakfast.
- " Private Dining: from £250+VAT
If you require private dining for your group of delegates, most venues will make an additional charge to serve your evening meal in a separate area from the main restaurant. This can be useful if you want to continue your meeting over your evening meal or if you want some evening entertainment provided during the meal.
- " Ground Hire: from £500+VAT
If your event contains outdoor activities you will need to use the venue grounds. Most venues will charge an additional fee for this - so if you're arranging a Company Fun Day or want motorised activities you need to bear this in mind.
